The government’s measure to reduce the working hours, if approved, will make it mandatory for companies to implement a digital time tracking system. At Grupo SPEC, we explain what you need to do to comply with the new legislation.

In February, the Spanish government approved the Draft Bill to reduce the standard working week to 37.5 hours. This proposal, the result of extensive negotiations, includes additional measures—most notably, the mandatory implementation of a digital time tracking system.

Requirements for digital time tracking

Companies are free to choose the digital system they consider most suitable, as long as it meets a set of requirements that ensure the objectivity, reliability, accessibility, and traceability of the records.

  • Check-ins and check-outs must be carried out personally and directly, at the exact start and end of the working day.
  • The system must provide an unambiguous and legally valid method of identification.
  • The time tracking data must be available in a manageable, legible, and widely compatible format that allows for documentation and the generation of copies.
  • Both employees, their legal representatives, and the Labour and Social Security Inspectorate must have immediate and on-demand access to the records, both on-site and remotely.
  • The company must retain the records for four years, making them available to employees, their representatives, and the Labour Inspectorate.

Digital time tracking solutions

Fortunately, there are various solutions on the market that can be adapted to any type of workplace.

Time and access control terminals

These are physical devices for on-site time tracking, such as idSense or idRockwhich are typically installed at the company entrance. These types of apps allow employees to clock in and out using their smartphone or tablet from each employee’s device. This is the ideal option for employees working off-site or remotely.

When choosing a digital time tracking system, it’s advisable to ensure it meets the following criteria:

  • An intuitive and user-friendly interface.
  • Flexible configuration that can be adjusted according to specific needs.
  • High storage capacity.
  • Easy to integrate with the company’s existing tools and systems.
  • Incorporation of additional features that streamline and automate tasks.
  • SaaS environment:this type of software is not installed on local devices but is hosted and managed on the service provider’s cloud servers. Therefore, it can be accessed at any time from any device with an internet connection.
